Tutorial - Users

Support1 July 02, 2010

Create user accounts for your mobile employees, partners and guests so they can securely access company information from their Rover Retriever-enabled devices. You'll need to provide their name, email address, and password or Windows user name. Please be sure that each user has Rover Retriever installed on their mobile device.

From the Users tab, select ‘Add a new user’ to create a new user account.

Rover Gateway User Configuration.

You can create a user account for any user you want to give access to the Rover Gateway. Once a user is added to the Gateway, access restrictions can be created limiting access to specific items on the Rover Gateway. See the Security section of the User Guide for more information on setting access restrictions.

Rover Gateway - Add User.

Each user will need a unique Username. The user’s company email address is used as the Username. The First and Last name fields will be displayed in the control panel to identify the user.

Any user can be configured as a gateway administrator. Administrators can login to the Rover Gateway and configure Site and User options. Most users will be configured as ‘normal users’. Normal users can not login to the Rover Gateway. They can only login to Rover Retriever and retrieve items they have been granted access too.

Windows Account

Users can also be configured to use their Windows password instead of creating a new Rover password. To use this feature, select the option to associate this user with a Windows account. You will be prompted to enter the user's Windows username as part of this configuration. When the user logs in to the Rover Client they will use their Rover Username along with their Windows password. The credentials will also be used to access any Files, Folders or Intranet Tunnel sites published through the Rover Gateway.

Windows username's usually require full DOMAIN\username to be entered. You can test the account login first by making the account an admin account and using this account to login to the Rover Gateway Control Panel. Once you can successfully login to the Rover Gateway Control Panel you should be able to login from the Rover Retriever Client. It is recommended to test the account from the Control Panel to validate the user account.

Note: you should always leave at least one Rover admin account not associated with a Windows account so you can login to the Rover Gateway even if you are having issues with your Windows account.

The user can also be configured to require administrator approval for any new device or be given automatic access for 1 or multiple devices.

Using this option also allows the Gateway to use Windows security trimming for folders, file and data accessed from Connectors.

Rover Gateway - Add User.

Select ‘Save user information’ after filling in all user fields.

The new user is added to the user list in alphabetic order.

To edit a user’s account, simple select a user.

To delete a user’s account, hover the mouse over the user and select the red ‘X’.

How to Auto Discover Windows User Accounts

User accounts can be automatically created for Windows Authenticated users. This can be very useful when dealing with a large number of users. To enable this feature check the "Automatically create accounts for users with valid Windows credentials.

The Windows Guest User Account must be disabled for the auto discover feature to work. For more information on the Windows Guest User Account see: http://windows.microsoft.com/en-US/windows-vista/Turn-the-guest-account-on-or-off

With this feature enabled and the Windows Guest User Account disabled the Rover Gateway will automatically create a user account for any Windows authenticated users the first time they try to login to the Rover Gateway from a Rover Retriever client. The auto discover user accounts will use the device permission defined here by default. The new user accounts are set to allow 1 new device by default. If you want to require admin approval for all auto discovered accounts simply change the setting.

The first time an auto discover user logs in a new user account will be created for that user. Any changes can be made to that individual account to alter his/her configuration once the account has been created.

Note: If a user account is deleted it will not be allowed to be added back through the auto discover process. Deleting an account signals the Rover Gateway to disable that account. If you need to add that user back the account must be added through the control panel.

Auto Discover Users

If a user account and device approval is not created for a user attempting to login, verify the Windows user account is valid from the Rover Gateway. If Windows Authentication requires Domain\user then the user must enter the full information when logging into Rover Retriever. Try creating at least one Windows Authenticated user manually to verify The Rover Gateway Windows Authentication is working before attempting to Auto Discover accounts.

The gateway.log file will record when an account is created under the log heading, ROVERLOG_AUTOACCEPTED_DEVICE.
